A painting quote should specify the rooms or surfaces covered, number of coats, paint brand and sheen level, prep work included (sanding, filling, priming), and total price. Use this estimator to calculate your internal cost and margin, then present a clean scope and total to the client. Always note what's excluded — ceiling, trim, second coat — to avoid scope creep.
Aim for 25—35% profit margin on painting jobs. On a $2,000 interior job, that's $500—$700 in net profit. Exterior work, cabinet painting and commercial jobs warrant the upper end. Don't negotiate below 25% — instead offer to reduce scope (fewer rooms, fewer coats) rather than cutting your margin.
Estimate total hours for prep (masking, sanding, filling), prime coat, finish coats, and cleanup. A standard bedroom takes 4—6 hours for a 2-coat finish. Multiply total hours by your rate. Don't forget travel time for large jobs. Painters who price by the room or by square foot should back-check these numbers against their hourly rate to ensure profitability.
No — present a total price and scope. Clients often compare quotes on price alone, not understanding the difference in prep quality or paint grade. Instead of showing your margin, highlight what's included: premium paint brand, full prep, Color consultation, clean daily worksite. These justify your price without exposing your numbers.
Walk the space carefully and measure square footage. Research paint coverage rates (typically 350—400 sq ft per gallon) and calculate gallons needed. Add 10% waste. Estimate hours conservatively — add 25% buffer for unfamiliar job types. Price at your standard rate and aim for 30% margin minimum. It's better to pass on an uncertain job than to lose money learning it.
