Most independent HVAC contractors charge $75—$150/hr for residential work and $110—$190/hr for commercial depending on location, certifications, and service type. Emergency or after-hours calls often command a premium of 1.5x to 2x the standard rate. Urban markets such as New York, Los Angeles, and Chicago frequently see HVAC rates at the high end of these ranges. Refrigerant-handling work requires EPA Section 608 certification, which also justifies a higher rate than general mechanical labor.
Add your target annual income to your total annual overhead costs, then divide by the number of billable hours you expect to work in a year. If you want to earn $80,000 and have $18,000 in overhead, you need $98,000 in revenue. Billing 30 hours per week over 46 weeks gives 1,380 billable hours, making your minimum rate about $71/hr. Always add at least 20—25% on top of that minimum to build in profit and absorb slow periods — this brings you closer to $90/hr, which is within the typical HVAC range.
Not every hour you work generates direct revenue. Driving to supply houses, writing quotes, ordering parts, chasing invoices, scheduling, and admin all consume time you cannot bill to a customer. Most solo HVAC operators find that only 55—65% of their working time is billable. If you work 45 hours a week, realistically budget for 25—30 truly billable hours. Many HVAC contractors use a tiered pricing structure. A standard diagnostic or maintenance rate, a higher rate for equipment installation or complex system work, and a premium emergency rate for after-hours calls are common. A baseline of $95/hr for routine maintenance with a $150—$175/hr emergency rate is a structure many established HVAC businesses use. Equipment installation jobs are often better priced as a fixed project fee rather than pure hourly billing.
Overhead includes all recurring business costs not tied to a specific job: van payments and fuel, tool and equipment maintenance, EPA certification and license renewal fees, business and liability insurance, refrigerant recovery equipment, phone, software, accounting, and advertising. For a sole-trader HVAC operator, $15,000—$22,000 per year in overhead is typical. This calculator defaults to $18,000 as a realistic mid-range starting point for most independent HVAC businesses.
